# Crewtavo

> Crewtavo is free, open-source field service management software for service businesses: lawn care, paving, roofing, cleaning, HVAC and any trade that quotes work, schedules crews and gets paid. It is a self-hosted alternative to Jobber. Companies with up to 50 employees use it free with every feature; there are no per-seat subscriptions, and each company's data lives in its own database.

## What it does

- Requests and online booking forms
- Quotes with price lists, formulas, options and satellite map measuring; approval in a client portal
- Scheduling and dispatch: day and week grid with a lane per crew, month view, drag to move, double-booking warnings, route ordering, rain-day shifts
- Field app for crews ("My day") in the phone browser: on my way, start and complete, gate codes, checklists, photos, timers
- Invoicing (batch, per visit, deposits, progress billing, retainage, reminders) and payments by card or bank through the company's own Stripe account, with tips
- Client portal: upcoming visits, quote approval, change requests, messages, payments
- Two-way texting, email, internal notes, automation rules, marketing campaigns, promo codes, review requests and referrals
- Roles and permissions enforced by the database (row-level security)
- SOP knowledge base with revision history and required reading
- Equipment maintenance by date, hours or miles
- Reports, timesheets, expenses and job costing
- QuickBooks Online and Zoho Books sync; calendar links for Google, Apple and Outlook
- Claude and ChatGPT connector limited to each person's role, with every call logged
- Trade presets for lawn and exterior maintenance, paving and sitework, roofing and exteriors, and a general setup

## Pricing and license

- Free for companies with up to 50 employees, including using their own name and logo.
- Companies with more than 50 employees can keep using it free with the Crewtavo name in the app, or get an enterprise license for white-labeling and priority support.
- Self-hosted on Railway: companies pay Railway directly. An instance runs on Railway's Hobby plan, $5 a month including $5 of usage; a new instance at rest uses about $3.60 of usage a month, and use grows with data and traffic. Railway's free trial covers the first 30 days (or $5 of usage); after that the Hobby plan is needed to keep the instance running.

## Hosting

- Guided setup at https://crewtavo.com/start/: the visitor signs up or signs in with Railway, approves the setup, and Crewtavo deploys into their own Railway account and opens when it's ready (usually a few minutes).
- Or deploy the Railway template directly. The template (https://railway.com/deploy/Chzzxj?referralCode=pQ_v0d) creates five services in the company's own Railway account: the Crewtavo app (web app, API and background tasks), a Postgres database, sign-ins, file storage and a data API, each with generated secrets.
- Data is stored in the company's own Postgres database. Crewtavo, the project, never receives it. Records can be exported to CSV at any time.
